How to reduce calls asking for repair status
Customers often call because they cannot see what has happened or what comes next. Make the job record useful to them, then give them a convenient way to access it.
Use statuses customers can understand
Choose labels that explain the situation. “Awaiting your approval” gives the customer an action; an internal department code does not. If a job is waiting for parts, say that clearly rather than leaving it in a generic progress status.
Share an update that answers the next question
A useful message explains the current position and the next step. For example: “Diagnosis is complete. Your estimate is available in the portal for approval.” If timing is uncertain, explain what you are waiting for rather than promising a date you cannot support.
Separate technical notes from customer updates
Technicians need detail, while customers need a clear explanation. Decide which comments and documents should be shared. Review customer-facing notes for clarity before sending an update.
Introduce the portal at intake
Tell customers where to check progress and how to access their order. Include the link or access instructions in the information they receive. If you provide a QR code, explain what it opens and where they can find it again.
Notify customers at meaningful moments
Focus updates on events that matter: an estimate ready for approval, a change in the job’s situation or readiness for collection. A notification should lead to useful information, not simply tell the customer that something changed.
Keep a human contact route available
Self-service helps with routine questions, but customers still need a way to discuss a problem or clarify an estimate. Make the contact route clear and use recurring questions to improve the information you share.
